This page will guide you through all the important information you will need to make the appropriate arrangements in advance of your summer programme, alongside some helpful details about what to expect during your time with Oxford Royale.

Important Things to Do

Before you arrive, there are a few important steps you need to take to ensure you have a smooth arrival.

The Portal is where all of your important information lives, and is also where you can manage your booking. Make sure both parents and students log into the Portal, and provide a contact email for the student.
You can access the portal here.

We need this for security reasons and to produce a campus pass for you to access certain areas. JPEG format is preferable, and there is a limit of 4MB per photo.
Alternatively, you can take a photo on your phone and send it to us, however, make sure it is of a high quality and with a plain background.

You must be comprehensively insured for your time with Oxford Royale. Insurance is not included in the fees for our summer schools and students must arrange this for themselves. You can find more information about student insurance here.

Travelling from Abroad?

Transport to the UK or USA is not included in the fees for your programme, so make sure you have made your arrangements in plenty of time.

General Advice

  • Pack all your travel documents and keep them safe whilst travelling.
  • Check with your airline on which documents you will need to travel with, and if you can check in online.
  • Bring (and also store at home) a printed photocopy of your passport.

Once you arrive at your accommodation, you can ask to place your passport, currency and other important travel documentation in the campus office for safe keeping.

Travelling to the UK

If you plan to travel by air to the UK, the most convenient airports for our locations include:

While we do not offer flights, we provide a Supervised Airport Transfer service for an additional fee, to safely transfer students from the airport to their campus.

Each individual traveller needs to make a booking. If you have an Airport Transfer booking, you will be met in Arrivals by Oxford Royale staff, who will welcome you and help you to find your transfer service to take you directly to your accommodation. Contact telephone numbers will be provided in case of any problems. When leaving the programme, you will be collected from your accommodation and taken to the correct airport terminal.

The Eurostar allows travellers coming from France, Belgium, Switzerland, Germany and the Netherlands to travel to the UK by train. The Eurostar arrives at St Pancras International station in the centre of London.

If you are under the age of 18 and will be travelling without a parent or guardian, the staff at the UK border may ask you to present a letter showing you have permission to travel
Unaccompanied.

We have provided a template Letter of Parental Consent for you to print, complete and bring with you – you can download this from the Oxford Royale Portal. Make sure you have this with you for both your outbound and inbound journeys.

Some airlines may also require you to use their Unaccompanied Minors service (the name can vary by airline). You and your parents or guardians should check the requirements of your airline, which may have changed in recent years.

If you require a visa to travel to the UK, you will need to arrange this yourself. The process can be quite lengthy so we recommend you allow plenty of time for your application to be processed.

To check if you need a visa to enter the UK and to apply online, please head to the visas and immigration section of the UK Government’s website. For those who need a visa to enter the UK, applications typically open 90 days prior to your travel date. We would recommend getting all documentation organised so you can apply at the earliest opportunity. Every year, a number of students miss out on their travel because they didn’t allow enough time for their visa – don’t let that be you this summer!

The majority of students who need a visa can apply for a Standard Visitor visa. Please note, Oxford Royale is not a Student visa (Tier 4 General) sponsor and students should not apply via this route.

Travelling to the USA

The most convenient airports for our campuses are listed below. We recommend searching online to find a flight that suits your requirements.

For Yale

  • John F Kennedy (approx. 1.5 hours travel time)
  • Westchester County (approx. 1 hour travel time)
  • Bradley International Airport (approx. 1 hour travel time)
  • LaGuardia Airport (approx. 40 minutes travel time)
  • Tweed-New Haven (approx. 10 minutes travel time)

For New York

Participants attending our Summer Schools in the USA may be able to enter the United States on the Visa Waiver programme. You can find out whether you qualify for this by using the online Visa Wizard on the US Travel website – select the ‘study or exchange’, then ‘short not for credit recreational program’ options.

Please note that the student is responsible for organising his or her visa ahead of time, and we can provide documentation to assist with registered students’ visa applications. Please read the applicable Terms and Conditions of Enrolment carefully with respect to visas – the terms contain information pertaining to such issues as visa rejection and border control.

If you wish to bring snacks or food from your home country, please check that they are acceptable to bring into USA territories. You can use this website to check.

Your Campus | Arrivals, Departures & Visitors

The first day of your programme will be a busy one, and our team will be on hand to make sure the day goes smoothly. If you are taking the Oxford Royale Transfer Service, you will be taken straight to campus. If you are making your own way there, make sure you check your arrival instructions, which will be emailed and added to your Portal closer to the summer.

Your Arrival Day is the first Sunday of the programme – timings will be confirmed via email and in the Portal closer to your start date, but most of our campuses will be expecting you after 3pm. If you arrive in the city earlier, you may be able to store your luggage at our campus and explore the city before your designated arrival time.

If you are joining us in London for Session 1, your arrival day is Monday 30th June.

Family members are welcome to join our Welcome Reception, where you will meet your campus team and fellow students. After the Welcome Reception, families will depart and our Programme Director will provide a Student Induction talk to outline the rules of the programme, and answer any questions you may have.

Our staff will show you to your room and provide you with a room key or fob – remember to keep this safe, as a charge will be applied if you lose or damage your room key.

Where possible, parents can book tickets to attend their child’s Exhibition Day event and Graduation Ceremony. More details will be available on how to book tickets closer to the summer.

If the Student is planning to leave the Course overnight, at weekends or at any other such time as to mean they will miss a register, they must ask their parent(s) or legal guardian(s) to complete and sign an exeat form and send it to the campus office.

On departure day, rooms are vacated after breakfast. Your campus will let you know exactly what time you will need to depart, and often this is before 11am. You will need to return your keys to the campus office.

More detailed instructions on your departure day will be made available closer to the start date.

Getting to Campus

You must organise your transfers to and from your campus. You can choose

to book a transfer organised by Oxford Royale, or make your own way to campus using public transport.

Your arrival instructions will be provided closer to your start date with the exact address and arrival time to campus. There are many ways to get to campus, including a private taxi transfer, train or bus service, or by signing up for Oxford Royale’s Supervised Airport Transfer, which operates from Heathrow Airport.

What to Pack: The Essentials

Summer’s getting closer… It’s time to start thinking about what to bring with you for your summer with Oxford Royale!

Programme Equipment

The only essentials are your laptop and charger.

Computer and Internet access will be essential for completing a variety of academic tasks, including writing essays, creating presentations and conducting independent research. 

We recommend bringing a laptop instead of a tablet – however, feel free to bring a tablet if you are comfortable that it is capable of completing your academic work.

All subject specific equipment that you may need for your programme will be provided on campus. You will also be provided with a notebook and stationary, though you may want to bring your own!

Travel Documents

These items are the travel essentials, so make sure you remember to pack them and keep them safe.

  • Passport

  • Flight/train/bus tickets (outbound and inbound)
  • Medical prescriptions if applicable
  • International student card (if you have one)
  • Emergency contact details
  • Documentation required to enter the US from overseas

Clothes

There is no formal dress code at Oxford Royale – we expect students to dress in comfortable, appropriate clothing that is suitable for an academic environment and weather dependent.

The weather in the UK is typically very changeable. You might find yourself in need of shorts and sunglasses, or occasionally reaching for an umbrella and a jacket.

More predictably, summertime in the USA can be very hot – make sure you come prepared! 

  • Everyday clothes (suitable for warm or cooler weather)
  • Everyday shoes
  • Sports shoes
  • Pyjamas (slippers and dressing gowns are also useful if you have a shared bathroom)
  • Formal clothes for your graduation event
  • Casual sports clothes for sporting events
  • Toiletries
  • Sun protection
  • Small hand towel if desired – large towels and beddings are provided on campus!

There will be washing machines and tumble dryers in your accommodation. An Oxford Royale staff member will show you how to use these; most will be operated by coins or tokens.

Please note, bed linen and large towels are provided throughout your stay so there is no need to bring your own, unless you wish to do so. Towels and bedding provided by your campus will be changed at least once a week.

  • Any personal medicines – these must be accompanied by a Medical Form, with instructions for use.

  • US or UK charger adapter (these can be purchased on arrival, though may be more expensive or difficult to find on your first day)
  • Some electrical items, like hairdryers and curlers, may work less efficiently in the USA due to voltage differences from the mains.

Finances & Budgeting

Have a think about how much you plan on spending whilst you are at your summer school; it’s good to have a budget.

Debit and credit cards are widely accepted in the UK and USA, with contactless available for payments. Apple and Google Pay are also widely accepted. Most international banks will charge a conversion commission when using your card to pay for items, so please check with your bank provider to find out what these charges are before you travel.

You might also consider bringing a prepaid card to use for incidental expenses. These cards are safer to use as the spending is limited to the amount on the card, and they can be topped up
remotely to make sure you always have funds when you need them.

The currency in the UK is pound sterling (£/GBP), and the currency in the US is the US dollar ($/USD).

Whilst travelling, it’s a good idea to carry a small amount of cash with you to cover any snacks, drinks or incidental expenses where you may not be able to use your card.

Budgeting

If you’re joining one of our 16-18 programmes in the UK, you’ll have the chance to explore the local cafes and shops during lunch time, so make sure you include this in your budget.

As a general guide, we recommend around £150 per week to cover your daily expenses. This includes approximately £10 per day for lunches. Breakfast and dinner are included in the cost of your programme.

All meals are included in the cost of your programme, however you will have lots of opportunity to explore local shops. As a general guide, we recommend around £80 per week for your daily expenses, including any snacks, souvenirs or experiences!

All meals are included in the cost of your programme. This means you can budget for souvenirs, snacks or shopping during excursions and field trips, and any other expenses. In the US, you will have to account for tax added at the checkout, so it’s a good idea to pad out your budget.

As a general guide, we recommend $150 per week.

Who's Who on Campus

While on campus, you will be looked after by a team of carefully trained staff, who are there to ensure you’re having a safe and happy experience. You’ll meet the team on your first day, but here’s the types of people you can expect to meet on campus.

Programme Director

Each Oxford Royale campus is managed by a Programme Director who is responsible for the summer school programme as a whole, including student welfare and safety. Programme Directors oversee your academic and extracurricular programme to ensure you have a safe, enriching and unforgettable summer school experience.

Programme Coordinator or Site Manager

Programme Coordinators in the UK and Site Managers in the USA  support the Programme Directors in the running of the campus by planning and delivering students’ busy timetables, and are responsible for much of the behind the scenes planning and administration on campus.

Junior Deans

Junior Deans will lead your social and extracurricular activities and excursions, keep you informed about your timetable and scheduled activities, and are on hand 24/7 to support you during your time on campus. Junior Deans have often worked with Oxford Royale previously and are experienced in summer schools and leading student groups.

Counsellors

Counsellors are your first point of contact outside of lessons; they will lead your extracurricular and social activities, support you in your studies, help you to make friends whilst on campus, and are always on hand if you have any questions.

Welfare Officers

Our dedicated Welfare Officers are available to students during their stay. They are committed to fostering student health to ensure educational success. They manage this through long-established links with local health care professionals and doctors (known in the UK as General Practitioners or GPs), as well as through access to world-leading hospitals. Welfare Officers will be available for consultations either on campus or remotely via video call.

Teachers

Oxford Royale Teachers are subject experts who will inspire you with their real-world knowledge of careers, university studies, research and innovations within your chosen subject field.

Health & Safety on Campus

At Oxford Royale, the health and wellbeing of our students is always the top priority. In order to ensure our students are safe and happy on campus, make sure you read through the following information. We have trained first aiders on each campus, and if you do feel unwell or need help at any time, contact a member of staff.

Health & Wellness on Campus

You will be required to complete a medical form, which you can find in your Portal. Make sure you complete this promptly, and follow any instructions given. 

We hope you don’t become unwell whilst you are with us, but if you do require medical treatment and have to pay, make sure you keep all the receipts and documentation so that you can claim for the cost with your insurance provider.

EU/EEA citizens require an EHIC and proof of their health insurance from their home country to receive healthcare free of charge during visits to the UK. Ask your doctor for advice on how to obtain the relevant documentation.

The Programme Director and trained first aiders will have access to the following medication. However, they will only be able to give this to you if you’ve selected ‘agree’ on your medical form.

  • Paracetamol (pain relief and fever reduction)
  • Antihistamine (relieves symptoms of mild allergies)
  • Cough sweets (sore throat relief)
  • Cough syrup (for mild coughs)
  • Olbas Oil (inhalant decongestant)

Important: Please remember to bring your own medication with you. Before departing, ask your doctor about any restrictions on travelling with your medication.

If your prescription medication is not licensed for use in your location, it is important that you discuss this with your practitioner to find alternatives. Any medication you bring should be clearly identified in its original packaging.

We can store medication in our fridges if necessary; however we must have prior notice and all packaging must be clearly labelled.

Oxford Royale staff members are not allowed to administer any medication. Students will not be allowed to take any medication unless it is documented by a healthcare provider in their pre-arrival forms with a Medication Administration Form and authorisation to self administer and under the supervision of an appropriately trained Oxford Royale Staff member(s).

Important: You can only bring essential medication with you. Any medication you do bring must be accompanied by a medical form.

Before departing, ask your doctor about any restrictions on travelling with your medication. If your prescription medication is not licensed in the USA, it is important that you discuss this with your practitioner to find alternatives. Any medication you bring should be clearly identified in its original packaging.

All medication will be stored safely by the campus team, and you will have access to self-administer during the dedicated times you specify on your medical form. We can also safely refrigerate medications if necessary.

If at any time you don’t feel well enough to attend your classes or lectures, please tell a staff member as soon as you can.

There will be a qualified Welfare Officer on site or on call who can help you. A member of staff in the campus office will help you book an appointment. When seeing the Welfare Officer, please take details of any medications you are taking with you.

You must see the Welfare Officer if you feel too unwell to attend classes and they will decide if you should take time off.

Please speak to a member of staff immediately if you feel you need to see a doctor and we
will take you to the nearest medical centre.

Please ensure you have access to the necessary means of payment. Most centres accept debit
or credit cards.

It is important that you know the name and address of your medical GP/doctor back home, in case the doctor needs to get hold of any medical records.

In the UK, we can also call 111 for you, which is a medical advice line. They will offer professional medical advice over the phone and advise if you need to seek medical care.

Safety on Campus

Valuable items can be stored in the safe in the campus office. This includes passports, travel tickets, money, medicine and important documents.

Do not leave valuable items on display in your room or near windows. Lock the door and windows when you leave your room.

Your Programme Director will speak to you about safety before all excursions and trips.

Make sure you have your campus’s emergency number saved in your mobile phone. This number will be shared with you at the induction on your first day and will also be included on the back of your name badge.

If campus staff are unavailable and feel you are in a severe emergency, contact the appropriate emergency services.
The number for emergency services in the UK is 999.
The number for emergency services in the USA is 911.

Each campus has rules for when and how you can leave campus. This information can be found in our rules and regulations, and will also be added to your Portal before your course.

You will be able to leave campus in designated groups, detailed in the rules and regulations. This is for your own safety, and the safety of others, so make sure you follow all rules when leaving campus.

Any student found to have demeaned, bullied, harassed or caused distress or humiliation to any other student or any staff member on the basis of their race, their ethnicity or the colour of their skin will be instantly dismissed from the course. Oxford

The Summer of a Lifetime in Oxford

A deeply historic city with a palpable atmosphere of academia, Oxford is a charming mix of age-old tradition and vibrant modernity – with a famous university at its heart.

Marvel at its magnificent Gothic architecture and wander its quaint cobbled streets lined with myriad quirky cafés, restaurants and boutique shops.

Visit its impressive museums and art galleries, explore three miles of shelving at the world’s largest bookshop, and do as the locals do and go punting along its sublime river.

Accommodation in Oxford

You will be living, studying and socialising on campus in actual colleges of the University of Oxford. This is a unique opportunity for our students to truly experience a taste of life as an undergrad in Oxford.

Our  12-15 students get to call either St Peter’s College or St Hugh’s College home. These historic colleges are in the heart of Oxford, close to all amenities, and filled with green spaces – the perfect place to unwind after a day of lessons.

16 to 18 students will be on campus at either the Queen’s College, Balliol College or Keble College, three prized colleges.

St Catherine’s College will host our Learn English students. Just a short walk from the High Street, this is the perfect location for heading out to put your English skills to the test.

Oxford Guide

You will experience the magic of Oxford throughout the programme, through guided tours and activities, trips to museums, galleries and scenic parks, and during your free time. Feel free to explore the city with your new friends, and make sure you hit all the best spots…

Shopping

Located on Broad Street, Blackwell’s is an old Oxford family business and is by far the best place to buy books on every possible subject of study. It also has a good selection of fun reading, a second-hand book section upstairs, and an excellent coffee shop. The bookshop’s Norrington Room, with over three miles (5 km) of shelving, is recorded in the Guinness Book of Records as the largest single room selling books in the world.

This newly developed shopping mall boasts an impressive array of brand outlets, from Urban Decay and Zaara to UniQlo, along with some great restaurants and activities, including escape rooms, cinemas and minigolf.

Take a short walk down 600 year-old Turl Street, and you will walk past three Oxford Colleges and a row of some of the oldest shops in Oxford. Nestled among them is Scriptum Fine Stationery, where you will find hand-stitched leather bound journals, quills, prints and posters and books.

Food & Drink

This quirky eighteenth century Covered Market – situated just off the High Street – houses many  traditional market stalls such as greengrocers and florists, but is also the perfect place to check out local arts & crafts, visit a bakery, sample a range of cafes and delis, or treat yourself to a legendary Ben’s Cookie.

In the heart of the city, this pop-up market is home to bothe delicious food and unique crafts. Browse stalls of hand crafted goods, art and jewellery, and taste a range of delicious international cuisines. 

The Grand Café is decorated inside with classical columns and mirrors and is a great place to enjoy a special tea or lunch. The café specialises in ‘cream teas’ (tea served with scones, raspberry jam and clotted cream) and cakes, but also serves a variety of lunch options.

Get ready to experience hot chocolate like never before at a student-favourite hot chocolate shop. Sit in the cozy cafe and enjoy a hot – or iced – drink and watch the hustle and bustle of Broad Street, or take your drinks to go and soak up the sun as you walk by centuries old colleges.

Popular bubble tea brand in the centre of the city that offers made to order teas with freshly cooked tapioca. With a wide variety of flavours, from classic milk teas to fresh fruity beverages, this is the perfect spot to grab a treat after a day filled with learning.

City Life

This beautiful park, originally owned by Merton College, was purchased by the University in the 1850s. Open every day of the week, University Parks boasts a choice of walks, a large collection of trees and plants and space for games and picnics.

Free to enter, walk the scenic grounds of one of Oxford’s most famous colleges. Entrance to the college itself is paid, but the spacious grounds offer views of manicured gardens, a central meadow, and lead you to a picturesque walk along the river – where you might even spot some rowing teams!

When you need a breath of fresh air away from the city on a busy day but you don’t want to travel far from the centre, this small hill is a brilliant escape. Believe it or not, this humble mound is the site on which Oxford’s castle was built in 1071.

The Ashmolean is the world’s first University museum. Showcasing world-famous collections ranging from Egyptian mummies to contemporary art, telling human stories across cultures and across time.

The world’s oldest surviving purpose-built public museum building, this fascinating museum is home to an unrivalled collection of scientific inventions, devices and instruments from across the world throughout history.

Featuring the most recent and popular films, Oxford’s Odeon cinemas offer multiple large screens – student discounts are available, if your school uses student IDs. A great way to relax with new friends.

Cambridge’s premier shopping destination boasts an impressive array of over 60 brand outlets, from Apple and Clarins to Dr. Martens and Hobbs, along with some great restaurants and activities including the luxury Everyman Cinema. Whether you’re looking for fashion, tech, or a quick bite, the Grand Arcade has something for everyone.
